President
Serves as the general manager of this organization and has direction and control of the business, activities, and officers of this corporation.
Ensures the organization’s activities are compliant and in furtherance of its mission
Leads, manages, and develops the organization’s employees, volunteers, and organizational culture
Develops sound and compliant fundraising and financial management practices (including budgeting)
Ensures effective external communications about the organization and its mission, priorities, importance, programs, and activities
Leads the organization’s planning processes, implementation of programs, and measurement of impacts
Ensures legal compliance (including all required filings) and sound risk management practices
Practically speaking, this means...
Creates programming calendar for the year (events)
Oversees or directly manages marketing efforts
Print/digital (making flyers/printing/posting around town)
Email newsletters
Social media pages
Books venues and performers/instructors for events
Manages all volunteers (officers and committee chair, etc.) and leads monthly or quarterly board meetings
Vice President
Helps the president directly with their duties (a co-president, of sorts)
Is next to take over responsibilities when the president is not available
Collaborates with president, treasurer, and secretary to help with general matters
Treasurer
Serves as the book-keeper for the organization
Manages invoicing for services
Pay instructors (and log payments)
Manage subscriptions/payments (insurance, software, storage, etc.)
Manages checks, venmo, and bank account
Tracks our spending vs our planned budget, via monthly reports made available to the organization
Manage monthly reports (reconcile bank account bi-monthly)
Collect, categorize, and record receipts/expenses on a monthly basis
Generates quarterly and annual financial reports, including the IRS Form 990
Complete annual financial report (end of year) + package receipts
Collaborates with president, vice president, and secretary to help with general matters related to finances and legal filings
Seeks out and applies for grants, and fills out reports to receive reimbursements
Helps to create annual budget
Secretary
Schedules meetings, and handles meeting venue reservations
Takes minutes/notes at meetings, and maintains required records in order to keep the nonprofit in good legal standing
Handles general communications by giving notice of meetings, distributing agendas and meeting minutes, etc.
Collaborates with president, vice president, and treasurer to help with general matters related to secretarial work
